The Smathers Libraries Marketing & Communications (Marcom) Department provides support and guidance to library units in their outreach efforts to ensure that the Libraries’ look and feel remains consistent across campus and beyond. The Library Event and Conference Planning guide is a step-by-step guide to all things event planning.
The Marcom Department helps fund and order supplies for:
- Smathers branded swag (allotment per branch each year)
- Libraries-wide events (e.g. Homecoming)
- Welcome Week (each branch will work with the Director of Marcom to execute event)
- Fall Fest
- Finals Week
- Observances
- Development events/activities
- Tabling for Smathers Libraries (at pre-approved events and outreach opportunities with either past success or promised engagement. Must be approved by Associate/Assistant Dean or Chair)
Reach out to aavelino@ufl.edu regarding these events/materials. All other events are funded through either your Assistant Dean or Chair’s approval and can be promoted through the Marcom Department.
Promotional Items
Every year, Smathers branded promotional items are given to each branch to use at their discretion for outreach, promotions, events, etc. Branch/unit/committee-specific items (e.g. swag, signs/banners, event supplies) are ordered through each unit and approved by their Associate/Assistant Dean or Chair and the Director of Communications. Each branch/unit/department is responsible for ordering supplies and promotional items for non-centrally funded event/outreach (see above list). The event organizer will work with their Associate/Assistant Dean on fund approval. Once funds are identified, submit a Business Services Grover. The Marcom Department can help acquire logos and give general advice and advisement on design and ordering practices, if needed. See Logos and Swag for more info.

Tabling
There is a Smathers Libraries tabling kit available in the Admin Suite. If you are representing the Libraries as a whole, use this. If you are representing your branch/unit, please use your branch’s tabling kit. Email aavelino@ufl.edu to check for tabling kit availability.
Catering
Each branch/unit/department is responsible for ordering food for non-centrally funded events/outreach (see above list). The event organizer will work with their Associate Dean/Assistant Dean or Chair on fund approval. Once funds are identified, submit a Business Services Grover. Only endowment funds can purchase food and you must provide an attendance list to Business Services at the conclusion of the event. Use the Library Event and Conference Planning guide for guidelines on ordering food. Please consider healthy options when ordering.
